One stage per customer, wherever your team already works.
Set the stages of your own sales process and every contact sits at exactly one of them — the same person on WhatsApp, Instagram or email, counted once. The stage rides on the contact: above the chat, on their record, as a filter on the inbox and as a board. In the WA.cr console it is called Lifecycle — Settings → Lifecycle to shape it, Contacts → Lifecycle board to work it.
A pipeline that lives where the conversations are.
Stages you define
Start from the suggested New Lead → Hot Lead → Payment → Customer and edit it to fit how you sell: name each stage, give it a description, an emoji and a colour, drag it into order, and mark which one new contacts start at and which one counts as won. The first time you save, every contact you already have adopts the starting stage, so the board is full on day one.
Above the chat, on the record, in the list
Once your stages are set up, the stage is the first pill above every WhatsApp, Instagram or email thread, a row on the contact record, and a Stage column in your contacts list that sorts in pipeline order rather than alphabetically. Change it in any of those places and it changes everywhere, because it is one stage on one contact — not a label on a chat.
A board you can drag
Contacts → Lifecycle board shows one column per stage with a live count that narrows as you search by name, number or email. On a laptop, drag a card into another column to move someone; on a phone, tap Move to… on the card — it makes exactly the same change. Lost stages are folded away on the right, so people who went cold never inflate the pipeline you are trying to read.
Work one stage at a time
A Stage filter beside the number filter turns the inbox into “everyone waiting at this point in the process”. It narrows the conversations already loaded, so on a very large inbox press Load more to widen it. Contacts nobody has staged yet sit under your starting stage, exactly as they do on the board.
Rules that only move forward
Wire what a customer does to the stage they should land on — replying to you, submitting a form, paying for an order — and contacts move themselves. A rule only ever moves someone forward, never into a Lost stage, and it leaves alone anyone your team filed by hand. The one exception WA.cr sets up for you is a paid order, the only signal allowed to overrule a manual filing. A fourth rule, for people who click an ad and message you, needs a connected ads account.
Broadcast to a stage
A segment rule can ask where somebody is in your pipeline, so an audience can simply be “everyone in Hot Lead”. A dynamic segment is worked out fresh at the moment the broadcast goes out, so it reaches whoever is in that stage right then — and the same rule filters your contacts list.

- Up to 20 funnel stages and 10 Lost stages per workspace — a limit on the pipeline, not an upgrade prompt.
- Nothing is lost when you change your mind: deleting a stage moves its contacts to your starting stage and tells you how many before you save.
- Hiding stages hides them everywhere without touching a single assignment — switch back on and your pipeline is exactly as it was.
- Owners and Managers shape the stages and rules; Agents move contacts along; Viewers can see a stage but not change it.
